1.1 Account Information

When you create an account, we collect:

  • Organization name
  • Password (stored securely using bcrypt hashing)
  • Profile photo (if uploaded)

1.2 Billing Information

Payment processing is handled by Stripe. We do not store your credit card numbers on our servers. Stripe collects and processes your payment information in accordance with their privacy policy. We receive and store your Stripe customer ID and subscription details.

1.3 Conversation Data

When your customers interact with your chat widget, we collect:

  • Chat messages between visitors and your agents or AI
  • Visitor name and email (if provided by the visitor)
  • Visitor IP address (for analytics and security)
  • Browser and device information (user agent)
  • Page URL where the chat was initiated

1.4 Help Center Content

Articles, categories, and knowledge base content you create are stored on our servers. This content is used by AI agents to generate responses and is published publicly through your help center.

1.5 Usage Data

We automatically collect information about how you use the Service, including pages visited, features used, conversation volume, and response times.

2. How We Use Your Information

We use your information to:

  • Provide, operate, and maintain the Service
  • Process subscriptions and billing
  • Enable AI agents to respond to customer queries using your knowledge base

  • Deliver Slack notifications for new conversations

3. Data Sharing & Disclosure

We do not sell your personal data. We may share information with:

  • Service providers: Third parties that help us operate the Service, such as Stripe (payments), email delivery services, and cloud hosting providers
  • AI processing: Conversation data and help center articles may be sent to AI providers (OpenAI) to generate automated responses. This data is processed per their API terms and not used to train their models

4. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Conversation data is retained for the duration of your subscription. When you delete your account, we will delete your personal data within 30 days, except where retention is required by law.

  • JWT-based authentication with token expiration

The Replyo dashboard uses essential cookies for authentication and session management. The chat widget uses local storage to maintain visitor session state. We do not use advertising cookies or third-party tracking pixels on our platform.

8. Chat Widget & Visitor Data

When you install the Replyo chat widget on your website, you are a data controller for the visitor data collected through the widget. You are responsible for:

  • Informing your website visitors about data collection through the chat widget
  • Obtaining any necessary consent from your visitors
  • Including the chat widget in your website's privacy policy

Replyo acts as a data processor for visitor data collected through your widget.

9. Children's Privacy

The Service is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children. If you believe we have collected data from a child, please contact us immediately.

10. International Data Transfers

Your data may be stored and processed in the United States. By using the Service, you consent to the transfer of your data to the United States, which may have different data protection laws than your country of residence.
